We cannot escape developing AI applications in our ERP software – Qbil-Trade and Moo Software – but this hasn’t come without challenges.
For our developers, AI feels like a kind of paradise. Imagine children in a candy shop: everything looks delicious, and they want to try it all. But product management had to hit the brakes. Because it’s not about what’s possible – it’s about what our users are truly waiting for. What actually helps them work faster, easier, and smarter?
User expectations
If we look around us, almost everyone is now using ChatGPT. This has created a certain expectation: that AI in our software should immediately feel “ChatGPT-like” – a smart conversational partner that takes care of everything for you. But unfortunately, that’s not how it works (yet). Integrating a generic chatbot into a complex ERP environment is simply not workable at this stage.
This created an important challenge: how do we develop AI solutions that fit our users’ daily practice without overwhelming them with complexity?
The best solution per screen
Our approach: develop the best AI solutions per screen. This way, users can immediately benefit from smart features in the context where they are working. But here lies a challenge: if every AI feature works a little differently, how do you keep it user-friendly and intuitive? After all, no one should need a manual to use AI.
The AI Hub – one button, all functions
That’s why we came up with the AI Hub. One central button that – depending on the screen the user is working in – automatically displays the relevant AI functions. This keeps everything clear and allows users to immediately take advantage of the right support, at the right moment.
Which AI functions are already available?
In the meantime, we have developed an impressive set of AI features in Qbil-Trade and Moo Software:
- Smart Contract Parser – contract text ➝ automatically filled fields
- UI Summarizer – summaries of contracts/invoices + attachments
- Dashboard Generator – create dashboards from plain language queries
- Web Report Assistant – filter/analyze reports using text or voice
- Smart Address Parser – intelligently read and fill in addresses
- AI Assistant (ChatBot) – ask questions in plain language, get instant answers
- Smart Navigation – search & filter using text or voice
- Features Management – administration and control of AI features
All these functions come together in the AI Hub, which will soon be available to our users.
The future of AI in our software
And this is only the beginning. Our goal is that AI will not only respond to questions, but also proactively come up with suggestions. Think of:
“Shall I create a contract for Moo Trading for 50,000 kg skimmed milk powder at €2,380 per MT, DAP Amsterdam?”
Or AI that automatically provides analyses, tips, and warnings for your trade. This way, AI will evolve from a helpful assistant into a true co-pilot: the user steers, AI executes, and together they work faster, smarter, and safer.
